1. Acceptance of Terms

By accessing or using BankReconPro ("the Service"), you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, do not use the Service.

2. Description of Service

BankReconPro is a professional bank reconciliation platform designed for accounting firms. The Service enables users to:

  • Upload and parse bank statements and general ledger exports
  • Automatically match transactions using a multi-pass engine
  • Review, approve, and export reconciliation reports
  • Manage client accounts and team collaboration
  • Generate AI-assisted narrative analyses

3. User Accounts

  • You must be invited by a firm administrator to create an account
  • You are responsible for maintaining the confidentiality of your login credentials
  • You must immediately notify us of any unauthorized use of your account
  • One person per account — sharing credentials is prohibited
  • You must provide accurate and up to date information

4. Roles & Permissions

The Service uses role-based access control:

  • Admin: Full access — manage team, clients, all reconciliations, billing
  • Senior Accountant: Create and manage reconciliations for assigned clients
  • Junior Accountant: Work on assigned clients with limited permissions
  • Viewer: Read-only access to assigned client data

Admins are responsible for properly assigning roles and client access to team members.

5. Acceptable Use

You agree not to:

  • Access data belonging to clients you are not assigned to
  • Share confidential client data outside of authorized channels
  • Attempt to circumvent access controls or security measures
  • Upload malicious files, scripts, or harmful content
  • Use the Service for any illegal purpose
  • Scrape, reverse-engineer, or reproduce the Service

6. Data Ownership

  • Your Data: You retain full ownership of all data you upload to BankReconPro
  • License to Us: You grant us a limited license to process, store, and display your data solely for the purpose of providing the Service
  • Our Content: The platform, UI, algorithms, and documentation are our intellectual property
  • Export: You may export your data at any time in standard formats

7. Service Availability

  • We aim for 99.9% uptime but do not guarantee uninterrupted service
  • Planned maintenance will be communicated in advance when possible
  • We are not liable for data loss due to unforeseen outages — regular backups are your responsibility

8. Confidentiality

We treat all client financial data as strictly confidential. Our obligations include:

  • Encrypting data in transit and at rest
  • Restricting access to authorized personnel only
  • Maintaining audit logs of all data access
  • Not disclosing data to third parties except as stated in our Privacy Policy

9. Limitation of Liability

BankReconPro is a tool to assist with bank reconciliation. It does not replace professional judgment.

  • We are not liable for errors in reconciliation results arising from incorrect input data
  • AI-generated narrative reports are advisory — users must review all outputs
  • Our total liability is limited to the fees paid for the Service in the preceding 12 months
  • We are not liable for indirect, consequential, or incidental damages

10. Termination

  • You may terminate your account at any time by contacting your administrator
  • We may suspend or terminate accounts that violate these Terms
  • Upon termination, you may request a complete data export within 30 days
  • After 30 days, all data associated with terminated accounts will be permanently deleted

11. Governing Law

These Terms are governed by the laws of Jamaica. Any disputes shall be resolved in the courts of Kingston, Jamaica.

12. Changes to Terms

We may update these Terms from time to time. Continued use of the Service after changes constitutes acceptance. Material changes will be highlighted upon your next login.

Welcome to BankReconPro

Your guide to bank reconciliation made simple

BankReconPro automatically matches your bank statement entries against your general ledger (GL) entries to identify reconciling items, outstanding checks, deposits in transit, and discrepancies.

How It Works — Step by Step

Create a Reconciliation

Go to DashboardNew Reconciliation. Give it a name (e.g. "NCB JMD Dec 2025"), select the currency, and optionally set the reconciliation period.

Upload Your File(s)

Click Upload Files on the reconciliation detail page. You can upload:

  • A single Excel file containing both bank & GL sheets — the system auto-detects which sheet is which
  • Separate files — one bank statement and one GL export (Excel, CSV, or PDF)

Files up to 5 GB are supported. Columns are auto-mapped.

Run Matching

Once both bank & GL entries are loaded, click Run Matching. The AI engine will automatically match entries by amount, date, reference, and description. A progress bar shows real-time status.

Review in Workspace

Go to the Workspace to see matched and unmatched entries side by side.

  • Expand — pop out either table to full screen for easy browsing
  • Export — download bank or GL entries as a styled Excel file
  • Manual Match — select entries with checkboxes and click "Match Selected"
  • Filter — toggle All / Reconciled / Outstanding and search by description or reference

Review & Edit

Use the Review & Edit page to approve, reject, or modify matches. You can update entry details, add notes, and bulk-confirm matches.

Generate Report & Export

Click Report for a full reconciliation summary, or Export to download the complete reconciliation as an Excel workbook with multiple sheets (matched, unmatched bank, unmatched GL, exceptions, summary).

Tips

  • AI Chat — click the chat bubble in the bottom-right corner to ask questions about your reconciliation
  • Simulation Lab — test the system with sample data before using your real files
  • Multi-sheet Excel — if your bank and GL are on different sheets in the same workbook, just upload that one file
  • Re-run matching — you can re-run matching anytime after uploading additional files or making corrections
